In this episode, we’re tackling an all-too-familiar challenge in our industry: no-shows and the importance of charging deposits. We'll discuss some practical tips to help you reduce no-shows and protect your time and business.
Sometimes, clients forget or have last-minute emergencies, but it can also be due to a lack of commitment and being inconsiderate that hairdressers lose revenue when they no-show or cancel without enough notice for us to fill their appointment. Implementing a deposit policy can help address this issue.
Since I implemented my no-show and other booking policies and started charging deposits in my salon I have successfully reduced no-shows to zero. I have 8 tips to help you do the same thing in your biz.

PRO TIPS to avoid cancellations/no shows
- Tip #1 Set Clear Expectations
Before booking an appointment, communicate your deposit policy to clients. Be transparent about the amount required and when it's due. Setting clear expectations upfront helps clients understand your business practices and reduces misunderstandings later on.
- Tip #2 Offer Multiple Payment Options
Make it easy for clients to pay deposits by offering various payment methods. This could include online payment gateways, credit card payments, or even a secure mobile app. The more convenient it is for clients to pay the deposit, the more likely they'll follow through.
- Tip 3: Reminder System
Create a reliable appointment reminder system. Send out text messages, emails, or even automated phone calls a day or two before the scheduled appointment. Reminders not only help decrease no-shows but also show your clients that you value their time and want to ensure they don't miss their appointments.
- Tip 4: Partial Deposits
Consider implementing partial deposits for more expensive or time-consuming services. For example, if a client books a colour correction or a full-day styling session, taking a partial deposit can show their commitment to the appointment.
- Tip 5: Flexible Rescheduling Policies
Life happens, and sometimes clients need to reschedule. Be understanding but firm about your rescheduling policies. Require a reasonable notice period for rescheduling and make sure to communicate these policies to your clients clearly.
- Tip 6: Building RelationshipsBuild strong relationships with your clients to foster loyalty. When clients feel a personal connection with you, they are less likely to no-show. A friendly and welcoming atmosphere can go a long way in creating loyal clients.
- Tip 7: Incentives for Keeping Appointments:
Consider offering incentives to clients who consistently show up for their appointments on time. This can be in the form of loyalty rewards, discounts on future services, or complimentary add-ons like a mini massage, scalp treatment, or a product sample. These incentives provide positive reinforcement for good behaviour and create a sense of value and appreciation for your clients.
- Tip 8: Review and Refine
Regularly review your deposit and no-show policies to see what's working and what isn't. Be open to making adjustments to better suit your business and clientele. Remember, it's a learning process, and sometimes things need tweaking to best protect the business whilst balancing excellent customer service.
Charging deposits is a powerful tool to reduce no-shows and protect your time as a hairdresser. By setting clear expectations, offering convenient payment options, and building strong client relationships, you'll see a positive impact on your business.
